Who we are

Accounting Without Headaches ("we", "us", "our") provides bookkeeping, tax, payroll and advisory services to businesses in the United States. You can reach us at sales@accountingwithoutheadaches.com.

Information we collect

We collect three kinds of information, depending on how you interact with this site.

Analytics, automatically. This site uses Google Analytics 4 (measurement ID G-X8TSM9KDK1) to understand how it's used — pages viewed, approximate location derived from IP address, browser and device type, and referring source. We don't use this data to identify you individually, and we don't combine it with anything you submit through a form.

What you submit through a form. The contact form on this site collects your name, business name, email, phone number, industry, how far behind your books are, and whatever you write in the message field. The free-resource form collects your email address and which resource you selected. Both are handled by Netlify Forms — form submissions are sent directly to us through Netlify's form-handling service, which is also the platform this site is hosted on.

What we receive if you become a client. If you engage us, we necessarily receive the financial information required to do the work, including bank and credit card transaction data, accounting software records (typically QuickBooks Online), payroll information including employee names and compensation, tax documents and prior returns, and invoices, receipts and supplier records.

Cookies

Google Analytics sets cookies on your browser (typically named _ga and _ga_*) to distinguish visitors and measure how the site is used. We don't set any advertising, retargeting or cross-site tracking cookies of our own, and we don't use any third-party tracking pixels.

You can block or delete these cookies through your browser settings, or opt out of Google Analytics entirely using Google's browser add-on. Doing so won't affect your ability to use the site or submit a form.

How we use your information

We use the information we hold for the following purposes, and no others:

• ›Responding to a contact form submission or sending the free resource you requested
• ›Providing the accounting, tax and payroll services you engage us for
• ›Preparing and filing returns and reports on your behalf
• ›Sending you reports, reminders and updates about your account, if you're a client
• ›Meeting our own legal, tax and regulatory obligations
• ›Understanding, in aggregate, how this site is used, via Google Analytics

We do not send marketing email campaigns, and we do not sell your information. We do not share it with advertisers, data brokers or list vendors, and we never will. If we reply to something you submitted, it's a direct response to that specific request — not the start of a mailing list.

Who we share information with

We share information only where necessary to run this site, deliver the service, or comply with the law:

• ›Netlify, which hosts this site and processes form submissions
• ›Google, which provides the analytics described above
• ›Software providers we use to do client work, such as QuickBooks Online, payroll and document storage platforms
• ›Tax authorities, where we file on your behalf and you have authorised it
• ›Professional advisors, such as your own attorney or CPA, where you have asked us to
• ›Regulators or law enforcement, where we are legally required to

Each of these providers is bound by its own confidentiality and security obligations. We don't give any of them permission to use your data for their own purposes.

How long we keep information

Financial and tax records for clients are retained for at least seven years after the relevant tax year, which reflects both professional standards and the IRS statute of limitations for most matters.

Form submissions from people who do not become clients are retained for 24 months and then deleted. You can ask us to delete this sooner, and we will do so unless we're legally required to retain it.

How we protect information

Client financial information is handled through the access controls and security features of the software we use to deliver the work — accounting, payroll and document storage platforms with their own security standards — rather than stored separately by us outside those systems. Sensitive documents are exchanged through those systems rather than as email attachments where practical.

No system is perfectly secure and we will not claim otherwise. If a breach occurs affecting your information, we will notify you promptly and tell you what happened.

Your rights

Depending on where you're located, you may have some or all of the following rights:

• ›Access — ask for a copy of the information we hold about you
• ›Correction — ask us to correct anything inaccurate
• ›Deletion — ask us to delete information, subject to legal retention requirements
• ›Portability — receive your data in a usable format, which we do as standard when a client leaves

Children

This site and our services are intended for businesses. We do not knowingly collect information from anyone under 18.

Changes to this policy

We may update this policy from time to time. The date at the top of this page reflects the most recent version. Material changes affecting how we use your information will be communicated to clients directly.
