Payroll looks simple from outside and has more moving parts than almost any other routine accounting task. Three things have to be correct simultaneously, and the failure modes are different for each.
Processing is the visible part — hours, rates, overtime, commissions, bonuses, deductions and net pay, calculated correctly and paid on schedule. Errors here are caught immediately by the person affected, which is both the good news and the bad news.
Payroll tax filing is where the money actually gets dangerous. Federal withholding, Social Security, Medicare, federal and state unemployment, and state withholding all have their own deposit schedules and their own filing deadlines. Missing a deposit is one of the few areas where the IRS can pursue business owners personally through the trust fund recovery penalty. It is deliberately harsh, because the money was withheld from employees and belongs to the government the moment it is taken.
Compliance is the quiet one. Worker classification, new hire reporting, minimum wage and overtime rules, and the state-by-state variation across all of it. Nothing announces itself as wrong until a claim, an audit or a former employee raises it.
Classification deserves particular attention. Treating a worker as a contractor who should be an employee is common, rarely deliberate, and expensive when examined — back taxes, penalties and interest, plus potential exposure on benefits and overtime.
